Are Your Employees Already Using AI for Work?
Your organisation may already be using AI even if management has never officially approved an AI tool.
Employees may use public AI platforms to:
Improve emails
Summarise documents
Translate information
Analyse spreadsheets
Create presentations
Draft proposals or reports
Review contracts
Summarize online meetings
Generate marketing content
In most cases, employees are not trying to create risk. They are simply looking for faster and easier ways to complete their work.
However, the business may not know which tools are being used or what information is being shared.
For example, an employee may upload a confidential customer document to a public AI tool and ask it to create a summary.
The result may save time, but important questions remain:
Will the information be stored?
Who may have access to it?
Is the tool approved for business use?
Is the AI-generated summary accurate?
Could sharing the document breach privacy or contractual obligations?
The productivity benefit is visible. The business risk may remain hidden.
Companies should begin by speaking openly with employees.
Ask:
Which AI tools are you using?
What tasks do they help you complete?
What information do you enter?
Do they connect to company systems?
What approved AI tools would help you work safely?
The purpose should not be to punish employees.
The goal is to understand how AI is already being used, identify useful applications, and reduce unnecessary exposure.
Do not ask only:
“Are employees using AI?”
Ask:
“How are they using it, and how can we make that use safer?”
